The Right Company State License on Every Invoice

Pharmaceutical distributors may be licensed to operate in several states, with a different state license number assigned to each one. When an order is shipped to another state, the invoice must display the appropriate license held by the company for that destination.

DOit ERP makes this process easier by automatically selecting the correct company state license when the invoice is issued.

Register Your Company’s State Licenses

In the company setup, users can register all state licenses held by the business. For each record, it is possible to enter:

  • The company’s license number
  • The expiration date
  • The state where the license applies

A company that operates in California, Florida, New York, and other states can register each license separately in DOit ERP.

Once these licenses are saved, the system can determine which one should appear on an invoice based on the state where the item is being shipped.

Automatic License Selection

When an invoice is issued, DOit ERP checks the shipment’s destination state. If the company has a license registered for that state, the system automatically selects and displays the corresponding license on the invoice.

The user does not need to manually change the license each time the destination state changes.

Manually selecting a state license for every invoice creates an additional task and increases the possibility of using the wrong information. This becomes even more challenging for distributors that process a high volume of interstate shipments.

Automatic state license selection helps companies:

  • Reduce manual invoice adjustments
  • Avoid selecting the wrong state license
  • Keep invoice information consistent
  • Save time during order processing
  • Better manage licenses across multiple states

With the licenses properly registered in the company setup, DOit ERP handles the selection during invoicing. It is a simple feature that helps make interstate operations faster, more accurate, and easier to manage.
